1. Introduction: paperwork makes selling smoother

Having the right documents ready speeds up your sale and builds trust with buyers. Missing paperwork can delay the process or reduce the price you’re offered. Here’s what you should gather before you advertise or book an appointment.

2. The V5C logbook

The most important document is the V5C registration certificate (logbook). It proves who is responsible for the car in the eyes of the DVLA. The details should match the car and your current address. When you sell, you’ll complete the relevant section or use the DVLA online service to notify them.

3. MOT certificate and MOT history

Buyers want to see evidence that the car has been legally tested. If you have a current MOT certificate, bring it with you. Even if it’s missing, MOT history can be checked online using the registration number, but having the paper certificate looks professional.

4. Service history and invoices

A stamped service book or a folder of garage invoices shows that the car has been maintained. Even if some services were missed, any records you do have will help. If you’ve lost the service book, ask your usual garage if they can print a summary of past work.

5. Finance and settlement letters

If there is outstanding finance, you’ll need details of the finance company and your agreement number. Ask them for a settlement figure in writing. Specialist car‑buying companies can often help pay the finance directly and give you the balance.

The owner’s handbook, radio code, locking wheel nut key and any spare keys all add value. People feel more confident buying a car that still has everything it left the factory with. Losing a spare key can be costly, so include it if you have it.

If you’ve recently replaced tyres, brakes, cambelt or clutch, keep those invoices. They show that the new owner is less likely to face big bills soon. Upgrades such as tow bars or parking sensors should also have fitting receipts if possible.

8. Insurance and road tax considerations

You don’t transfer insurance or tax to the new owner. Instead, you cancel or adjust your policy and receive a tax refund automatically from DVLA when the logbook changes. It’s still good practice to keep your insurance details handy on the day of sale just in case.

9. What if you’re missing some documents?

If your V5C is missing, you can apply for a replacement from DVLA using form V62 or online. Missing service history is harder to replace but you can request copies from garages that have worked on the car. Be honest with buyers about any gaps.
